EXHIBITOR FACT SHEET

Interpretation of these guidelines is at the discretion of the Jacksonville Public Library staff.

 

Event Description

The JPL Maker Con is a celebration of maker culture, comic books, sci-fi, fantasy, gaming, and cosplay. This event runs from 11 a.m. to 3 p.m. on October 14, 2017 at the Main Library. Exhibitors are non-presenting makers, authors, and artists who wish to have a booth space to market and sell their product(s).

Application & Notification Process

The application deadline is September 1, 2017.

Applicants will receive a confirmation e-mail upon receipt of application with payment; after September 1, applications will be reviewed and exhibitors will be selected. Notification will be sent regarding acceptance status by mid-September. If accepted, exhibitors will be emailed arrival information approximately 4 weeks prior to the event. Please note: The number of Exhibitor spaces is limited.

Set-up

Set-up will take place from 9:00 a.m. – 10:30 a.m. Exhibitors may begin dismantling their booths at 2:55p.m. Library staff will not be available to help set up or dismantle booths.

Space and Equipment

Exhibitors are provided with one 6 ft. or 8 ft. rectangular table and two chairs. Exhibitors are responsible for providing tablecloths, signage, and all other materials needed for an attractive booth space, and must operate only within their assigned space. Free Wi-Fi is available, but can be slow. Exhibitors are required to take their trash with them at the end of the event.

Parking

Free street parking is available on Saturdays. Parking is also available in the garage at the corner of Main Street and Duval Street.

Important Sales Information

Exhibitors are responsible for bringing, storing, and selling their merchandise.

Photos

Photographs submitted may be used to promote the festival. Also, please note that photographs taken during the event by the Jacksonville Public Library staff may be used in future promotional materials.

Cancellation/Refund

If the Jacksonville Public Library or City of Jacksonville cancels the event or chooses not to accept an exhibitor, a refund will be given. Otherwise, no refunds will be issued.

Event Regulations

  • All Exhibitors are required to arrive, set up, and breakdown at the times communicated in the set up information.
  • No alcoholic beverages, animals (with the exception of service dogs), skateboards, roller blades, bicycles, or weapons (real) are permitted at the event.
  • Jacksonville Public Library staff members reserve the right to have Exhibitors remove unacceptable or inappropriate items, or to relocate, dismiss, or remove any participant.
  • Jacksonville Public Library staff members reserve the right to deem an Exhibitor ineligible for participation in future events based on late arrival, early departure, no shows, and inappropriate or uncooperative behavior.

 

2017 Exhibitor Application

  • Application must be complete and include full payment in order to be accepted and processed. Please be sure to include signature/payment pages when submitting your application. Incomplete applications will not be processed.
  • Submitting an application with payment does not guarantee acceptance.

Exhibition Information: Exhibitor spaces are reserved for makers and authors who are promoting and selling their own merchandise. Please provide a brief description below (in the Exhibitor Information text field) of the items you will be promoting and selling. This is an event for all ages and content must be appropriate for a general viewing audience. The library reserves the right to prohibit items that are not appropriate for general viewing.

Accommodations for those with a disability: The City of Jacksonville is committed to making reasonable accommodations as required by the Americans with Disabilities Act. All requests must be made by September 1, 2017. Your request for accommodations will in no way affect your acceptance status. I certify that I have read and fully understand and agree to comply with the Maker Con Exhibitor Fact Sheet and the regulations contained in this application, and that the information I have provided in this application is true. I will be personally responsible for ensuring that the use of my space is carried out in conformance with this application.

As a participant of the 2017 Maker Con, I agree that I, or anyone entitled to act on my behalf, together with the organization I represent (if any), hereby waive and release the City of Jacksonville, Jacksonville Public Library, and the organizers of the event, plus all event partners, sponsors, and volunteers, and their representatives, successors and assigns, from all claims and liabilities of any kind arising out of my participation in the event, even if that liability may arise out of negligence or carelessness on the part of the persons named in this waiver.

Participation in the Maker Con by groups or organizations other than City of Jacksonville officials, departments, or committees does not constitute City of Jacksonville or Jacksonville Public Library endorsement.

By signing this application, I authorize my payment to be processed and deposited upon receipt. I understand that if I am not accepted into the festival, no refund will be issued.
